Privacy Policy for Manager Metrics Google Workspace Add-On

1. Introduction
Welcome to Manager Metrics ("Add-On," "we," "us," or "our"). We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy outlines how the application is operated from a privacy perspective. The application remains completely within the confines of the google ecosystem and application users benefit from the protections that are derived from being a stakeholder of the ecosystem. By using Manager Metrics, you agree to the practices described in this Privacy Policy.
2. Data Requirements
2.1. User Email Addresses: In order to provide users of the application secure access to the functionality of our Add-On, the application will require all users to be logged into a google account. This will ensure that only authenticated users that have installed the Add-On or gmail users who have been authorised can have access to a manager metrics instance web app. User authorisation is completed via a manager metrics instance. The Add-On installers email address associated will be displayed to authorised users when they are using the custom web application.
2.2. Manager Metrics Data Management: The application simplifies file management by automatically creating essential folders and Google Sheets within your Drive. This includes a dedicated 'Manager Metrics' root folder and subfolders, along with the necessary spreadsheets for the application to function.
2.3 Secure Access with Service Accounts: To ensure a smooth operation, the Manager Metrics Add-On Service Account (ts-0-35@dreamweaver-349816.iam.gserviceaccount.com) will have access to your Drive. However, its permissions are carefully restricted. It can only create, update, and delete specific Google Sheets relevant to the application's data needs. These set of files are stored within the Manger Metrics Space folder.
Service Accounts are special Google accounts designed to manage user data on Google Sheets securely. By using them, we guarantee that the application interacts with your Drive with data privacy as a top priority.
Service account access is limited to the creation of folders for the add on and for the reading, writing and deleting of sheets files created by the add on.
2.3 Folder and File Structure: All Add-On data is stored in a specific folder within your drive under a root folder called the "Manager Metric Space". Within the root folder, there are two sub folders - a system space folder and an admin space folder. Each Manager Metrics instance has a system home folder(within the system space folder) and home folder(within the admin space folder). Each Manager Metrics instance has the file name of the sheets file appended to the system home and home folder. Within the system home folder a Sheet file acts as a datastore for the Manager Metrics instance.
3. How We Use Your Information
3.1. User Email Address: The application uses your email address solely to identify and authenticate your Google Workspace account to support use of the add on, and to respond with you where you have contacted support on mgrmetrics@gmail.com.
3.2. Access to Google Drive: The application has access to files it created on Google Drive solely for the purpose of creating folders and Google Sheets files as required by the functionality of the Add-On. We can not access, modify or view any non Manger Metrics content within your Google Drive. Authorised users of a Manager Metrics web app can only see(access) data related to their authorised use of the app. Authorised users will not have any access to any files within your google drive. Accounts operated by the system called service accounts have been given access via a secure configuration protocol access and cannot act beyond the specific interactions required for the Add-On to operate.
4. Information Security
4.1. We do not have access to any of your personal information other than the email address of user who has installed the add on and the email addresses of users who have been authorised to use the web app by the user who has installed the manager metrics Add on.
4.2. We comply with all data requirements as defined within the operational rules of the Google ecosystem and Google Workspace Market Place.
4.3 Limited Use Policy: Our Add-On's use of information received from Google APIs within the Add On will adhere to Google API Services User Data Policy, including the Limited Use requirements. Information received is used to display application data to authorised users of the Add On via a web app.
5. Security
We take the security of your personal information seriously. All data remains within google sheets files and is stored within google drive folders. Access to the application is controlled via the standard google authentication methods, email, password, key chain etc.
6. Your Choices
Uninstalling Manager Metrics is done using the Add On menu and follows the method for all Google Workspace Add Ons. A specific instance of manager metrics can be deleted using the Manager Metrics add on menu.
7. Changes to this Privacy Policy
We reserve the right to update this Privacy Policy as necessary to reflect changes to our practices or for legal reasons. We will notify you of any material changes by posting the updated policy on our website. However any changes will always maintain the principles of data privacy defined by the ICO - https://ico.org.uk/for-organisations/law-enforcement/guide-to-le-processing/principles/.
